PDF eXpress Instructions (IEEE Venue only)

The instructions on this page are only for authors choosing the IEEE Explore venue for their papers. All these submissions or submissions for the co-located workshops, also choosing the IEEE venue, need some specific actions.

Steps you need to take

  • The submitting author must complete the IEEE Copyright form in the ConfTool system.
  • Place the IEEE copyright notice on the bottom of the first page of the paper. See the instructions below.
  • You must use the IEEE PDF eXpress system to ensure that your paper is properly formatted and uploaded.
    • You have up to 10 tries to get your paper correct.
    • The system stores your last try, which then becomes your final upload.
  • We confirm that the IEEE PDF eXpress system is collecting the final version of your paper.
    • However, just to be sure, we ask you to upload a final version via the ConfTool system as well.
  • Very important: Once you have a correctly formatted paper and you are happy with it, please remember to click the approve button in the IEEE PDF eXpress page. This releases the paper for lodgment with IEEE.

PDF eXpress Help

Some steps to add the copyright to your paper if you are using LaTeX.

If you are using Microsoft Word, use the standard commands for inserting a box and then positioning a box.

  1. Add \IEEEoverridecommandlockouts before the \maketitle command.
  2. Add \IEEEpubid with the appropriate notice text.
  3. Add \IEEEpubidadjcol immediately after the \maketitle command to ensure the text adjusts to the new layout.

    • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 979-8-3195-4548-0/26/$31.00 ©2026 Crown
    • For papers in which all authors are employed by the European Union, the copyright notice is: 979-8-3195-4548-0/26/$31.00 ©2026 European Union

  • Proofread your source document thoroughly to confirm that it will require no revision.

Creating your PDF eXpress Account

Log in to the IEEE PDF eXpress site

First-time users should do the following:

  • Select the New Users – Click Here link. Enter the following:
    • 69978X for the Conference ID your email address
    • a password
    • Continue to enter information as prompted.

An Online confirmation will be displayed and an email confirmation will be sent verifying your account setup.

Previous users

Previous users of PDF eXpress need to follow the above steps, but should enter the same password that was used for previous conferences. Verify that your contact information is valid.

If you do not find an answer in the Find Answers tab, go to the Ask A Question tab.

Your question will be forwarded to IEEE PDF Support and answered within 3 business days.
